      We are Healthy Minds Consulting (HMC), healthymindsconsulting.com, a consulting and advocacy agency that is dedicated to uniting the fields of Education and Mental Health.

      What personal data we collect and why we collect it

      As a consultation and advocacy agency, we will collect and keep personal information such as client name, address, phone number, email address, names of specific family members/students pertinent to the nature of our consultation/advocacy arrangement.  This may also include information regarding medical diagnoses and treatment/intervention plans, as well as information regarding school records and educational/behavioral plans.  Regarding all Personally Identifiable Information (PII), we observe and strictly adhere to the Family Educational Rights and Privacy Act (FERPA) and the Health Insurance Portability and Accountability Act (HIPAA).

      As part of our business we also offer various trainings, presentations, networking events, panel discussions, and other similar activities.  In the organization, hosting, registration, and execution of such events we may collect PII for registrants, partners, peers, presenters, guest speakers, and others involved in various capacities of said event.  This information is limited to the ability to identify and confirm validity and authorization of people to be able to participate in the event, including who they are, their appropriate credentials, confirmed payment, etc.

      HMC utilizes third party vendors such as Stripe in the facilitation of collecting payment for our various services and products.  All financial information used in this process is handled by the third party agency and does not to into HMC’s possession.

      Healthy Minds Consulting may utilize de-personalized aggregated data for study and professional reporting purposes. HMC will never sell PII to outside agencies and acts in strict compliance with FERPA and HIPAA.

      WooCommerce

      HMC utilizes WooCommerce to facilitate the shopping and purchasing system on this website.  WooCommerce collects information about shoppers during the checkout process on our store.

      What WooCommerce collects and stores

      While you visit our shop, we’ll track:

      • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
      • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
      • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order

      We’ll also use cookies to keep track of cart contents while you’re browsing our site.

      When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details. We’ll use this information for purposes, such as, to:

      • Send you information about your account and order
      • Respond to your requests, including refunds and complaints
      • Process payments and prevent fraud
      • Set up your account for our store
      • Comply with any legal obligations we have, such as calculating taxes
      • Improve our store offerings

      We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for seven years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses.

      Who on our team has access

      Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

      • Order information like what was purchased, when it was purchased and where it should be sent, and
      • Customer information like your name, email address, and billing and shipping information.

      Our team members have access to this information to help fulfill orders, process refunds and support you.

      What we share with others

      We share information with third parties who help us provide our orders and store services to you; for example:

      Mailchimp for WooCommerce

      When shopping, we keep a record of your email and the cart contents for up to 30 days on our server. This record is kept to repopulate the contents of your cart if you switch devices or needed to come back another day. Read Mailchimp/WooCommerce’s (Intuit’s) privacy policy here.

      Stripe

      HMC uses Stripe as our primary payment processor for services and products.  By using this third party, some of your data will be passed to them, including information required to process or support the payment, such as the purchase total and your billing information.

      Information shared to process payments typically includes:

      • Name
      • Email
      • Address
      • Phone
      • City/State/Zip
      • Unique payment identifier
      • Payment provider identifier

      Contact/Registration forms

      HMC will utilize registration and contact forms in order to facilitate communication with our agency and participation in our various events.  As described in the section above, this information is used for identification and confirmation of validity to participate.  This information may be shared with partner organizations solely in the furtherance of a particular event (such as a partner managing attendance rolls or coordination of panelists) and is never sold to third parties for solicitation or marketing purposes.
